Position Description

If you are looking for a place where you can make a difference in the life of a child, Project Harmony is looking for you. We are seeking an experienced and committed Administrative Assistant – Human Resources/Administration to join our dynamic and innovative organization. This position is responsible for administrative and operational duties supporting Human Resources and Project Harmony’s Administration teams. Work hours for this position will be during regular business hours, Monday to Friday.

 

Essential Duties and Responsibilities

Front Desk and Reception

  • Greet/welcome and direct visitors.
  • Answer and transfer calls as needed that come into the Project Harmony office phone lines.
  • Manage conference room calendars, reservations, and scheduling for Project Harmony and partner agencies.
  • Assist with meetings and training logistics as needed.
  • Input information/data into software programs and databases.
  • Maintain files and documentation thoroughly and accurately. 
  • May assist with order and inventory of office supplies as needed.
  • Collaborate with other department Administrative Assistants to provide campus-wide reception service.

Human Resources Operations

  • Maintain electronic record database with HRIS system, including scanning, filing, auditing, and compliance.
  • May conduct background checks on qualified candidates, volunteers and vendors.
  • Assist with recruitment, on-boarding and benefits preparation for new employees.
  • Provide support for campus events (e.g., set-up/clean-up, agendas, minutes, registrations, coordination, etc.).
  • Ensure culturally competent services are provided to all clients we serve without regard to race, ethnicity, religion, socioeconomic status, disability, gender or sexual orientation.
  • Other duties as assigned by HR leadership.

Administration Support

  • Provide administrative support to senior leaders as needed.
  • Schedule and preparation for meetings and events for senior leaders.
  • Provide assistance to IT/Facilities/Data teams as needed, including but not limited to vendor calls, appointments, and on-site maintenance.

 

Requirements

Qualifications

Education and Training

  • Bachelor’s degree preferred
  • Related training and experience in Human Resources will be considered

Work Experience

  • Professional experience providing support to administration and leadership teams.

Required Knowledge and Skills

  • Must respect and maintain confidentiality.
  • Demonstrate a high level of professionalism and work ethic.
  • Self-directed with the ability to organize workload, prioritize, set and meet deadlines.
  • Must be a self-starter and able to work independently as well as part of a team.
  • Knowledge of clerical and administrative procedures and systems such as filing and recordkeeping.
  • Strong administrative, organizational and time management skills.
  • Attention to detail and accuracy.
  • Ability to build relationships and work collaboratively.
  • Working knowledge of Microsoft Word, Excel, PowerPoint, Outlook and Sharepoint.
  • Knowledge of the operation of standard office equipment.
  • Computer and technical skills using data management and office software products.
  • Knowledge of multi-line phone system.
  • Ability to input data into multiple systems quickly and accurately.  
  • Excellent written, verbal and listening communications skills.
  • Ability to follow oral and written instructions.

Other

  • Must be able to lift up to 15 pounds.
  • Must be willing to work flexible hours.
  • Must submit to a thorough criminal history background check.
  • Must have access to a vehicle, possess a valid driver’s license and proof of insurance.
  • Position may involve some travel, primarily within the state.
