Our client is seeking an Office Manager to join their growing team. The selected individual will be responsible for supporting the Executive Director, organizing operations and procedures, creating, and sending correspondence, supporting requests from program staff, maintain client filing systems, ordering, and maintaining supplies, and other support functions as needed.

Job Duties

  • Be the welcoming face of the agency. Provide a professional, courteous, and engaging demeanor to callers and visitors to the agency.
  • Oversee general office activities, including managing phone calls, emails, and incoming/outgoing correspondence. 
  • Create and update databases and records for personnel information.
  • Manage agendas, travel plans and appointments for the Executive Director. 
  • Assist the Executive Director with special projects. 
  • Support the Program Teams with requests for client conferences.
  • Maintain organized and efficient filing systems for documents and records.
  • Maintain organized client files and related client documents.
  • Accurate collection and recording/uploading of client fees.
  • Manage emails, letters, packages, phone calls and other forms of correspondence.
  • Track and replace office supplies as necessary to avoid interruptions in standard front office procedures.

Requirements

  • High School diploma, or high school equivalent required.
  • Three years in managing or leading the functions of a small to mid-size organization.
  • Familiarity with Non-Profit efforts, funding, marketing, organizational structure and operations highly preferred.
  • Strong understanding of the importance of discretion and confidentiality in the mediation process and ensure that it is maintained for clients, documents, and client sessions.
  • Highly skilled with technology such as Microsoft Office Suite, video conferencing, data management, Caseload manager (client case management system) or related software.
  • Excellent organizational skills and attention to detail.
  • Ability to multi-task and must be a self-starter.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Excellent verbal and written communication skills.
  • Regular and predictable attendance, and promptness for work.
  • Successfully complete Basic and Family mediation training within one-year of hire.
