A Brief Overview
The Marketing Project Coordinator is responsible for coordinating projects for the Marketing & Communications team, which also includes managing elements of data systems and processing data that supports projects. This person assists with minor web page updates, creates web content and maintains digital tools, such as data systems and a digital asset management platform. The project coordinator also works closely with team members and strategists to generate date reports, as well as with subject matter experts outside the department, providing valuable insights to support strategic planning, personalization and campaign execution.

Essential Functions

Project Coordination Coordinate projects and work with team members to support key initiatives and campaigns. 

  • Manage project workflows, including intake processes and tracking marketing and communications projects to ensure timely delivery. 
  • Oversee the execution of project tasks as directed by management, ensuring alignment with project goals. 
  • Ensure all marketing and communications projects comply with relevant laws and regulations.

Data Coordination to Support Project Work 

  • Participate in the creation and management of an asset tagging system and provide support for the digital asset management platform, ensuring ease of access and organization of assets. 
  • Perform data entry and maintain accurate, up-to-date information in marketing and communications databases and the digital asset management library. Regularly audit data for accuracy, consistency and completeness. 
  • Ensure compliance with HIPAA regulations by maintaining an organized and secure data filing system. 
  • Collaborate with team members to design and implement data reporting systems, including dashboards, and contribute to data insights related to strategic planning, personalization and campaign performance. 
  • Identify opportunities for process improvements and recommend innovation solutions to enhance team efficiency.

Web Support for Projects  

  • Support the digital marketing team by making minor updates to web pages through the content management system (CMS). 
  • Review and revise web content to ensure accuracy, relevance and alignment with SEO best practices.


Education Qualifications

  • High School Diploma   Required and
  • Bachelor's Degree Bachelor's degree from an accredited college or university in marketing, communications, data analytics, computer science or related field Preferred

Experience Qualifications

  • 1-3 years  Marketing, communications, data management or related work experience Required
  • 1-3 years  Healthcare experience Preferred

Skills and Abilities

  • Strong attention to detail (High proficiency)
  • Ability to handle multiple projects and deadlines (High proficiency)
  • Successful track record in project management or database administration  (High proficiency)
  • Strong organizational, project management and communication skills (High proficiency)
  • Ability to write clearly and accurately, as well as summarize complex information quickly and succinctly  (Medium proficiency)
  • Ability to coordinate and synthesize data from a variety of marketing and communications sources  (Medium proficiency)
  • Ability to plan, organize, and meet deadlines with little supervision (Medium proficiency)
  • Ability to work with multi-specialty team members to accomplish common goals  (Medium proficiency)
  • Proficient in Microsoft 365 software  (Medium proficiency)
